Information We Collect

We collect information you provide directly, information created when you use PDF Gain, and limited technical information needed to operate, secure, and improve the service.

  • Account information: Name, email address, authentication identifiers, account settings, and subscription status when you create or manage an account.
  • Documents and edits: PDF files you upload, filenames, page information, extracted text, embedded fonts, annotations, signatures, edits, and exported files needed to provide the editor.
  • Payment information: Plan selection, subscription status, transaction identifiers, billing country, and payment events. Full card details are processed by our payment provider, Paddle, and are not stored by PDF Gain.
  • Usage and device data: IP address, browser and device details, pages viewed, feature usage, timestamps, error reports, and approximate location derived from technical data.
  • Communications: Messages, attachments, and contact details you send when you request support or communicate with us.

How We Use Your Information

We use your information to deliver PDF Gain, keep it reliable, and provide a secure editing workflow.

  • Provide, parse, render, edit, save, export, and otherwise operate PDF tools you request.
  • Authenticate users, manage accounts, apply plan limits, and preserve documents associated with your account.
  • Process purchases, manage subscriptions, handle refunds, and send transaction notices.
  • Respond to support requests, troubleshoot issues, and send service, security, and administrative messages.
  • Monitor service performance, detect abuse or fraud, debug errors, and improve features and usability.
  • Comply with legal obligations, enforce our terms, and protect the rights, safety, and integrity of PDF Gain and our users.

Documents and Storage

PDF Gain processes documents in your browser and on our servers so we can parse pages, extract fonts and text, save edits, and generate exports. Uploaded PDFs are stored in private object storage and document metadata is stored in our database.

Access to document storage is controlled server-side. We do not make uploaded PDFs public, and we use account and document permissions before serving files back to the editor.

  • Guest documents: Documents uploaded without signing in expire after 2 hours. For anonymous sessions, PDF Gain keeps only the current guest upload and removes older anonymous uploads when a replacement is created.
  • Signed-in documents: Documents are retained according to your plan. Free and limited plans normally expire documents after 24 hours, while plans with permanent storage keep documents until you delete them or your account is closed, unless we must retain information for legal or security reasons.
  • Caches and generated data: Temporary font files, render data, parsed content, and processing caches may be created to make editing work. We remove or overwrite these when documents expire, are replaced, or no longer need them for the service.

Sharing of Information

We do not sell your personal information. We share information only when needed to provide PDF Gain, comply with law, or protect the service.

  • Service providers: We use providers such as Supabase for authentication and database services, Cloudflare R2 for private document storage, Paddle for payments and subscriptions, and Vercel for hosting, analytics, and performance monitoring.
  • Legal and safety reasons: We may disclose information if required by law, legal process, security needs, or to protect PDF Gain, our users, or the public.
  • Business transfers: If PDF Gain is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction.
  • With your consent: We may share information when you direct us to do so or give us permission.

Data Security

We use technical and organizational safeguards designed to protect personal information and documents against unauthorized access, loss, misuse, alteration, and disclosure.

  • Encryption in transit and storage systems that support encryption at rest.
  • Server-side access checks for private documents and account data.
  • Limited operational access, authentication controls, logging, monitoring, and routine security updates.

No internet service can guarantee absolute security. Please use a strong password, keep your account credentials private, and contact us if you believe your account or documents have been accessed without authorization.

Cookies and Tracking Technologies

We use cookies, local storage, and similar technologies to keep you signed in, remember language and session preferences, maintain anonymous upload state, measure performance, and understand how the product is used.

You can control cookies through your browser settings. Blocking some technologies may affect authentication, document editing, checkout, or other product features.

Data Retention

We retain personal information only as long as needed for the purposes described in this policy, including providing the service, maintaining your account, complying with legal obligations, resolving disputes, and enforcing agreements.

Document retention depends on your plan and whether you are signed in. Expired documents are removed through cleanup jobs. Some logs, backups, payment records, and security records may be retained for longer where required for legitimate business, tax, accounting, legal, or security purposes.

Your Rights and Choices

Depending on where you live, you may have rights to access, correct, delete, export, object to, or restrict certain processing of your personal information. You may also have the right to withdraw consent where processing is based on consent.

You can update some account information from your account area. To request access, correction, deletion, export, or another privacy action, contact us using the email below. We may need to verify your identity before completing a request.

International Data Transfers

PDF Gain and our service providers may process information in countries other than the country where you live. Data protection laws in those countries may differ from those in your jurisdiction.

When required, we use appropriate safeguards designed to protect personal information transferred internationally.

Children's Privacy

PDF Gain is not directed to children under 16, and we do not knowingly collect personal information from children under 16. If you believe a child has provided personal information to us, please contact us so we can take appropriate action.

We may update this Privacy Policy from time to time. When we make changes, we will post the updated policy on this page and update the last updated date.

If changes are material, we may provide additional notice, such as through the product or by email when appropriate. Your continued use of PDF Gain after an update means the revised policy applies.
